For seamless business operations, we suggest you follow these best practices. They are designed to save time and increase staff productivity.
1. Add & Invite Your Employees:
Add all your workers to your TSM account, ensuring their contact information, including email addresses and phone numbers, is accurate and up-to-date.
Send an invitation to each worker so they can download and install the TSM App on their smartphones. We recommend sending invitations via both SMS and email.
2. First-Day Instructions:
After confirming that workers have downloaded and installed the TSM App on their phones, clearly communicate that they must use the TSM App to punch in and out on their first day of work. Explain that this is an essential part of the company's operational process, ensuring accurate payroll and performance tracking, and compliance with EU labor laws and regulations.
3. Connect TSM with Your Payroll Vendor:
Your Payroll vendor will provide you with a code, which you should enter in the designated area. This code might be your TVA or CIF number; please confirm with your Payroll provider (e.g., ADP, KPMG, SD Worx).
4. Set the Monthly Legal Hours:
The hours indicated in TSM are estimates. Please set the correct hours. If you are uncertain about the appropriate figures, consult your business coach, lawyer, or payroll provider.
5. Handling Missed Punches:
We do not recommend manual punches. If a worker fails to punch in, always inquire about the reason first.
If a worker has punched in but it's not reflected on the dashboard, it may be due to a poor internet connection. In such cases, wait for the app to synchronize with the server.
If a worker forgets to punch in, you may add a manual shift but remind them to use the TSM App for all future punch-ins/outs.
If a worker claims to have punched out but is still shown as punched in on the dashboard, you may manually punch them out. However, verify with them first. Poor connection can delay the sync of data with the server, so we recommend waiting at least one day before adjusting timesheets.

6. Approving Reports:
Confirm with your Payroll provider the deadlines for submitting your reports for payroll processing. Some companies may require payroll submission at the end of each month. Verify the timesheets for accuracy and ensure the hours are correct before approval and submission.
